Participant and operator responsibilities for passports, Pakistan visas, invitation letters, trekking permits and climbing permissions.
This policy forms part of the booking framework. Your booking confirmation may add trip-specific dates, prices, inclusions or requirements.
A passport, a Pakistan visa, an invitation letter, a trekking permit, a mountaineering permit, a national-park document and a local authorisation each serve a different purpose. Having one does not guarantee or replace another.
Visas and permits are issued, refused, delayed, suspended or changed by the responsible government authorities. We cannot guarantee a decision, a processing time, how long a document stays valid, route approval or entry at a border.
You must hold a passport valid for the required period, use the correct visa category, meet transit requirements, and carry every document needed for your nationality, residence, route, activity and travel dates.
Where it is included, we prepare the invitation letter, itineraries, rosters, route maps, licence documents, permit applications, fee coordination and other supporting material for the booked activity. Your booking confirmation says which visa or permit services and fees are included.
Our guidance is based on the information available at the time. It is not immigration or legal advice. Requirements can change without notice, and authorities may ask for interviews, biometrics, security review, original documents, extra fees or further evidence.
Send clear passport copies, photographs, forms, occupation details, travel history, a climbing or trekking résumé, insurance evidence, emergency contacts and any other documents we ask for by the deadline we give. Permits for treks normally need passport details at least four weeks before departure, and expeditions and restricted-area journeys need more lead time.
A minimum processing period is not a safe target. Apply as early as we ask, and do not buy non-changeable travel only because you expect an approval on a certain date. We are not responsible for delay caused by late, incomplete, inconsistent or inaccurate information from the participant.
Visa fees, permit charges, peak royalties, environmental or waste fees, liaison costs, insurance requirements and bank charges are set or influenced by the authorities and can change. Your confirmation lists what is known to be included, and a new or higher official charge may have to be paid by the participant.
Government and processing payments may be non-refundable once submitted, including where an application is refused, delayed or withdrawn, or where you cancel later. Refunds follow the authority’s rules and our Cancellation & Refund Policy.
A refusal, a delayed decision, a shorter validity or a border decision is usually outside our control and does not automatically entitle you to a full refund. We will identify the services we did not supply and any genuine third-party amounts we recover.
Where practical, we may discuss a new date, route, an eligible replacement or a credit. Any option depends on approval by the authority, supplier terms, availability, how the group operates and extra cost. Your travel insurance should include cancellation and interruption risks linked to documents where suitable cover is available.
Do not change the objective, route, entry point, dates or team without our written confirmation. A trekking permission does not allow an unapproved climbing objective, and a permit for one peak or route does not automatically cover another.
A substitute participant or a changed passport may need a new application and new fees, and an authority may not accept a change after submission or approval.
Follow the conditions of your visa, permits, protected areas, liaison arrangements, checkpoints, camps, waste rules, photography restrictions and the instructions of authorised officials. Carry the identification you are asked for and stay with the approved itinerary where required.
Fines, removal, detention, delay or loss caused by a breach by the participant are the participant’s responsibility. We may end participation where carrying on would be unlawful or put the group, our staff, our licence or the permits at risk.
Passport, visa, insurance and application data may be shared with government authorities, missions, licensed partners, hotels, airlines and operational staff where reasonably needed for the booking or required by law. We handle and keep these records in line with our Privacy Policy.
